Energy Procurement for Independent Schools

Independent schools have absorbed three cost increases in under two years that no bursar asked for and none could influence: VAT on fees, the loss of charitable rates relief, and higher employer National Insurance.

Energy is not on that list. It is one of the few significant costs a school still controls, and one of the very few that can be cut without a single parent or pupil noticing.

We are an ISBA Business Directory Partner and we tender gas, electricity and water for independent schools across the UK.

A school estate does not behave like an office

  • Mindfulenergy Icon Trans

    Boarding runs around the clock

Your overnight and weekend load looks nothing like the profile a commercial contract assumes, and that shows up in the price you are quoted.

  • Mindfulenergy Icon Trans

    Pools and sports centres dominate

A single pool hall can outweigh an entire teaching block, and the plant behind it is rarely looked at once it is running.

  • Mindfulenergy Icon Trans

    The holidays are not downtime

Lettings, summer schools, sports camps and maintenance mean August consumption is nothing like an empty building, and schools are routinely priced as though it is.

  • Mindfulenergy Icon Trans

    Mixed-age estates

A listed main house, 1970s classrooms and a new sports hall on one site, often with meters nobody has mapped since the last bursar.

  • Mindfulenergy Icon Trans

The academic year is not the contract year

A renewal that lands mid-term costs you budget certainty exactly when the finance committee is asking for it.

We tender on what your meters actually show, not on what the supplier assumes a school looks like.

Why Schools Choose Mindful Energy

We’re based in Hemel Hempstead, and work face-to-face with schools across the UK, not a call centre several counties or countries away.

The part most brokers stop caring about

Consumption

The cheapest kWh is the one you never buy. Site audits, monitoring and honest advice about which efficiency spend actually pays back and which does not.

Water

Routinely ignored and often wrong. We offer a free desktop audit of your water and wastewater charges.

Bill validation

Every invoice checked against the agreed rates and actual consumption, with corrections pursued by us. On a multi-meter estate this is where money leaks quietly for years.

Contract management

Ongoing account management, renewal tracking and someone to handle supplier problems for you. Supplier problems come to us rather than to your finance office.

How do we procure gas & electricity for your school?

How do traditional Energy Brokers work?

The traditional method is manual and sequential. Once you sign a Letter of Authority, the broker contacts a panel of suppliers, often a shorter list of preferred suppliers, and asks each one for a quote.

Those quotes come back at different times over hours or days, each valid only for a short window. The broker then presents the results to you. Crucially, each supplier quotes in isolation: they don't know what their rivals are offering, so there's no live pressure on them to sharpen their price. And the broker's fee is usually a commission in the unit rate. Suppliers must now show it in the contract, but few brokers explain it before you sign.

It's a snapshot, not a competition: you get a price on the day, from a limited set of suppliers, with limited visibility of how it was reached.

How does Mindful Energy work?

We use a Reverse Auction Methodology, which is the process of creating a market tension between two or more suppliers in real time, resulting in a bidding war that erodes supplier margins and gets your school the best price available from the market on the day.

As each supplier bids and rebids, it encourages other competing suppliers to submit further bids, pushing the price down through the session. Once complete, we show you the winning offers alongside the others received, and we make sure the process is fair, transparent and free of the usual back-and-forth of ringing round suppliers yourself.

For a finance committee, that record matters as much as the saving. You see the offers side by side, the one that won and the ones it beat, so you are not asking governors to accept a number on trust. You are showing them the market on the day you bought.

Below is a more detailed overview of how the process typically works for our school clients.

Reverse Auction

The Initial Auction Day

This auction acts as a price discovery event, providing the following benefits:

  • Gives you an accurate renewal cost for your new budget.
  • Enables you to assess any “green” premiums by comparing the "cheapest" price against the "cheapest cleanest price".
  • Enables Mindful Energy to iron out any data/portfolio discrepancies ahead of time.
  • Enables you to put forward a procurement case to your governors or committee to seek approval ahead of signing the renewal contract.

Final Auction Day

  • Your signatories will have had time to prepare ahead of signing the final contracts.
  • A final decision is subject to market conditions and a favourable buying environment.
  • We index link the market prices to ensure supplier margins remain consistent with the Initial Auction Day pricing.

Frequently asked questions

How are Energy Brokers paid?

Brokers are usually paid either a commission built into your unit rate by the supplier, or a transparent fee agreed directly with you. At Mindful Energy we set this out clearly in writing before you sign anything, so you always know exactly what you’re paying and why.

Our renewal isn't due. Is it too early to talk?

No, and early is better. The best outcomes come from starting nine to twelve months out, because it lets us choose when to go to market rather than take whatever the market happens to be doing in your renewal week.

Can we pay a reduced rate of VAT on energy?

Parts of a school’s supply can qualify for the reduced rate where the energy is used for a qualifying purpose, and schools are sometimes on the wrong rate without knowing. It is worth checking, and we look at it as part of a review.

What do you need from us to start?

Initially we would have an exploratory call to understand your needs better. Then we would need a recent bill for each supply, your contract end dates and a signed LOA. The rest is down to us.

Most bursars want to talk before they share anything, which is fair enough. Book a short call and we will talk through where your contracts sit, when your renewal falls, and whether there is anything worth doing. No documents needed, and no obligation at the end of it.
